For most Canadian small businesses in 2026, Microsoft 365 is the better choice — primarily because Microsoft offers Canadian data residency (data stored in Canada, not the US), which simplifies PIPEDA compliance. Pricing is comparable across equivalent tiers. The choice ultimately comes down to compliance requirements, desktop application needs, and which ecosystem your team is already familiar with.

Canadian data residency: the critical difference
Microsoft operates two Canadian data centre regions — Canada Central (Toronto) and Canada East (Quebec City). Microsoft 365 Business Basic, Standard, and Premium plans allow Canadian organizations to configure email (Exchange Online), documents (SharePoint, OneDrive), and Teams messages to remain in Canada.
Google Workspace does not offer Canadian-specific data residency as of 2026. Google processes Workspace data primarily in US data centres. This is the single most important factor for Canadian businesses with PIPEDA obligations, provincial privacy law requirements (Quebec Law 25), or client contracts requiring Canadian data storage.
Desktop applications: Microsoft wins
Microsoft 365 Business Standard and Premium include full desktop installations of Word, Excel, PowerPoint, Outlook, Teams, and OneNote — the applications that have been the Canadian business standard for 30 years. Google Workspace relies on Google Docs, Sheets, and Slides — browser-based applications that lack some advanced features and have limited compatibility with complex Microsoft Office documents.

When Google Workspace makes sense for Canadian businesses
Google Workspace is a reasonable choice for Canadian businesses that:
- Are already heavily invested in the Google ecosystem (Google Ads, Analytics, etc.)
- Have teams that prefer browser-based collaboration and rarely exchange complex Office documents
- Do not have strict Canadian data sovereignty requirements
- Are early-stage startups where Google's simplicity and lower entry cost matter
